How Will The Chartership Hub Use the Information That You Provide?

The Chartership Hub are processing your personal data on the basis of legitimate interest, that it is necessary for progressing the Purposes and the performance of any associated contract, and also due to The Chartership Hub’s legal obligations.
The legitimate interests pursued by The Chartership Hub are as follows:
a) Managing your contract of engagement
We will treat all personal data (whether sensitive or not) as private and confidential except where we are permitted or required by law to make a disclosure or where the disclosure is necessary for the Purposes.
Unless The Chartership Hub are required by law, you are under no obligation to provide your personal data to The Chartership Hub for the purposes. Should you choose not to provide your personal data, or you request that The Chartership Hub deletes your personal data, The Chartership Hub will be unable to engage you.
- b) Marketing
We collect two type of data for marketing purposes:
- Name, Email address, Telephone number, Job Title and Company name through consensual opt in forms
- User behaviour which we collect through cookies and google analytics. Information on how we collect these can be found below.
We use these to improve our services and to occasionally send you emails with The Chartership Hub news, events updates and insights.
Use of Cookies
We may collect information about your computer, including where available your IP address, operating system and browser type, for system administration. This is statistical data about our users’ browsing actions and patterns and does not identify any individual. We may obtain information about your general internet usage by using a cookie file which is stored on the hard drive of your computer. Cookies contain information that is transferred to your computer’s hard drive. They help us to improve our Site and to deliver a better and more personalised service. How Long Will The Chartership Hub Keep Your Data For?
- a) Engagement
Where you are engaged to provide services, The Chartership Hub will need to hold your personal data for the length of any assignment and for as long thereafter as may be required to ensure compliance with statutory and other obligations. Typically, this is 7 years after the point that your last assignment ends, however in some limited circumstances this may be longer.
- b) Marketing
Our retention period will vary depending on the type of data involved, but generally, we will refer to these criteria in order to determine retention period:
- Whether our users have the ability to access and delete the data we keep by emailing us or unsubscribing
- Whether our users would reasonably expect that we would retain the data until they ask us to remove it

We may not always be able to comply with your request immediately – for example, if we need to retain your personal data for a certain period of time for legal reasons, or for the purposes of defending a legal claim (the example is valid about data we hold for engagement purposes).
You also have a right to make a data protection complaint to the Information Commissioner in the UK if you think we are mishandling your personal data.
Who Does The Chartership Hub Share Your Personal Data With?
In order to manage your contract, we may need to pass your information to The Chartership Hub’s nominated suppliers for progressing the Purposes described above. These could include The Chartership Hub’s technology providers, Microsoft platforms such as Teams, and government bodies, as well as third parties that you provide us, such as your sponsors or referees.

How Will The Chartership Hub Protect Your Personal Data?
The Chartership Hub operates an information security management system. In some circumstances you may be issued logins or given access to systems in order to provide information securely.
You agree to immediately notify The Chartership Hub of any unauthorised use of your user id and/or password. Any breach of the above which results in losses to either The Chartership Hub or our Customers may result in legal action being taken against the individual concerned.
